Accounting Specialist

Position Summary:

The Accounting Specialist is responsible for the day-to-day operations, including processing payroll, AP, AR & client invoicing, along with oversight of the financial operations for DuBois Consultants, Inc. This position will oversee financial statements, complete budgeting, planning, tax accounting support, cost accounting, and other financial matters (file required documents, including Federal, State taxes, and 941, etc.). The Accounting Specialist is the initial contact point for management and team members who may have questions concerning financial information.

A day in the life of the Accounting Specialist:

  • Process Accounts Payable in a timely manner; ensure Accounts Receivable is collected promptly; perform reconciliation on all balance sheet accounts
  • Process payroll and reconciliations of payroll deductions and benefits
  • Assist with benefits enrollment, terminations, and additions
  • Process payroll tax filings and prepare information for annual tax returns
  • Implement internal control policies and procedures for all financial activities
  • Advise the leadership team regarding budget management to ensure project success
  • Maintain knowledge of organizational procedures, federal and state regulations, and accounting standards
  • Coordinate financial planning, financial analysis, and budgeting
  • Creation of financial models and “what if” modeling capabilities (A plus), reviewing and forecasting the trends, cost, and gross margin impact, enhancing the decision-making process for sales
  • Utilize creative problem-solving skills to implement accounting & budget efficiencies
  • Develop and monitor business performance metrics
  • The ability to assess and research difficult tax issues to identify solutions as required (A plus)
  • Determine tax savings and recommended strategies to improve profits
  • Ensure compliance with regulations by forwarding required information to federal, state, and local authorities

Skills for the Accounting Specialist:

  • Microsoft Office experience, including strong Excel skills
  • Accounting and project management software knowledge (Deltek preferred)
  • Strong writing and verbal communication skills
  • Ability to work effectively with a team
  • Demonstrates strong analytical and problem-solving skills
  • Self-motivated
  • Must maintain confidentiality and exercise discretion when dealing with sensitive information
  • Must be results-oriented, multi-tasking, quick learner
  • Respond to the urgent needs of the team and show a strong track record of meeting deadlines

Education and Experience for the Accounting Specialist:

  • Associate degree in Business Administration (Required minimum)
  • Bachelor’s degree in Accounting is a plus (or equivalent experience).
  • Prior experience with Construction, Engineering, or other industries that bill per project, strongly preferred
  • Progressive experience in accounting/finance- preferably in a small business or public accounting
  • GAAP: 1 year (Preferred)
  • Experience with Deltek Ajera and/or Vision is a plus

A Day in the Life of an Administrative Project Coordinator:

The Project Coordinator position supports the Civil and Structural Departments and Project Managers. Primary responsibilities include assisting Project Managers and Engineers in performing the project administrative functions for assigned projects, as well as assisting in providing project reporting specific to document control during the construction and design of projects. This position follows practices and procedures in accordance with DCI’s policies and DCI’s best practice processes.


Essential Functions:

The Project Manager adds value in the following ways:

• Input project data into internal data tracking systems

• Assist project managers and task leaders with the development and maintenance of project management plans, safety plans, internal schedules, and other project guidance documents.

• Apply company quality assurance guidelines and procedures for project document management

• Assist project managers with the development of contracts and subcontracts

• Order and monitor insurance certificates

• Create and manage project documents and files

• Schedule and participate in Project Reviews

• Word processing, editing, formatting, and proofreading of technical deliverables

• PowerPoint development and editing

• Work with DCI task leads and team members - organize and track internal DCI deliverables, including reminders and coordination with leads on schedule tracking

• Organize and schedule meetings


Required Qualifications

• Associate degree in a closely related field or a combination of education and relevant experience

• 1-year related experience

• Proficient in Microsoft Word, Excel, PowerPoint, and Outlook

• Must be well-organized with close attention to detail and accuracy

• Must be team-oriented and able to work with a variety of people in a fast-paced environment

• A creative mind with the ability to suggest improvements

• Excellent customer service skills

• Strong computer and organizational skills, including extensive experience with Microsoft Office, Adobe Pro, and the ability to learn new software programs

• Ability to work independently with little direction

• Able to prioritize work according to deadlines and organizational initiatives to produce assigned outcomes

• Highly developed problem-solving skills

• Ability to work independently and as part of a team

• Excellent written and verbal communication and presentation skills


Preferred Qualifications

• Previous experience in the A/E/C industry is desirable
